Enrolment Information for Short Courses
(The information provided here is applicable to the short courses of the School only. For enrolment information of full time courses, distance learning courses and other part-time courses, please refer to respective programme information or contact the programme administrator.)

Enrolment Procedures
  1. Complete the Application Form (one for each course). Photocopies are also accepted.
  2. Prepare a crossed cheque or a cashier order (one for each course) made payable to 'Hong Kong Baptist University'. For tuition fee of HK$1,000 or above, payment can be made by Hong Kong Baptist University Credit Card instalment plan. Applicants are required to submit the applications and complete payment procedures at the Enrolment Centres during the enrolment period.
  3. Write down the name, contact number and section code at the back of the cheque/cashier order.

Points to note
  1. Before you apply, read the prospectus carefully and pay attention to the announcement of course changes on the School's notice board.
  2. Applications submitted by mail or using the collection box will be processed on a first-come-first-served basis. In-person applications will  be processed immediately.
  3. Make sure that all application forms have been duly completed and all necessary documents have been enclosed before sending them. Incomplete applications will not be processed but returned by mail to the applicants. The School is not responsible for any loss occurred during the delivery.
  4. Do not pay by post-dated cheque, postal order or cash. Only crossed cheques or cashier orders are accepted. Payment of tuition fee could be made in EPS for in-person applications.
  5. The School reserves the right to request for proof on permission of study. Acceptance is subject to the discretion of the School.
  6. Application is successful only when the payment has been confirmed by the bank. Returned cheques will result in cancellation of places with no further notice. All pertinent information submitted for application is non-returnable. Applicants should follow the normal application procedures to re-apply.
  7. On successful application, Registration Slip and Official Receipt will be sent to students who applied by mail. Students who have not received the Registration Slips before term commencement are expected to attend the first class meeting at the place and time indicated in the Prospectus. Request for reissuing the registration slips and receipts should be made at the learning centre no later than the second week of course commencement. Handling fee of HK$50 will be charged for re-issuance of each Registration slip while the issuance of the certification letter for tuition fee (official receipt of tuition fee will not be re-issued two weeks after course commencement) will be charged at HK$50 per copy two weeks after course commencement.
  8. In case of course cancellation, tuition fee refund date and procedures will be notified by post after the enrolment period. The Registration Slip and Official Receipt of the cancelled course should be returned to the School. All pertinent information submitted for application will not be returned.
  9. No fee will be refunded except for cancellation of course or reject of application.
  10. The School reserves the right on offering of any individual course/  section and to make alterations regarding the instructor, time, place and contents of course offered. Applicants will be notified if there is any changes or special arrangements on the class schedule.
  11. Instructors have the right to adjust the contents of the courses for the benefit of the majority of students.
  12. Courses with this icon are Certificate and Diploma Programme subjects. Applications other than the School's Certificate and Diploma Programme students are also welcome. Transfer of credits will be granted to applicants who have completed relevant courses offered by the School prior to registering into the programme. Information about the structure of Certificate and Diploma Programmes, exemptions and application procedures is included in the introduction to 'Certificate and Diploma Programme' in this prospectus.
 
Transfer of Course / Section
Application for course / section transfer should be made in person before 17 Oct 2008 at the Enrolment Centres. A handling fee of HK$150 will be levied (refundable only for unsuccessful transfer application).  HK$300 will be charged for late applications without sufficient reasons will not be accepted.  The fee is subject to change without prior notice.

Frequently-asked Questions
Q: How do I know whether a by-mail application has been accepted?
A: You may check your application status at 3411 5467 two weeks after you have sent your application. H.K.I.D. card number will be needed for checking.
Q: Must applicants come in person to apply?
A: No, in-person application can be done by your designate. However, a photocopy of the H.K.I.D. card or student card of Certificate and Diploma Programme of the applicant must be presented.
Q: When will the cheque be debited after my application has been submitted?
A: Under normal circumstances, the cheque will be debited the next day after an application has been received. Post-dated cheques are not accepted. If the cheque is returned by the bank, the place will be cancelled without further notice.
Q: If I submit my application in-person, will it be processed immediately?
A: In-person applications are processed immediately at  the Enrolment Centres.
Q: Must I give the second choice?
A: No. However, if you are going to give a second choice, please note the following:
1. Please prepare separate cheques/cashier orders if the course fee of the two choices are different.
2. If you apply for more than one course, please avoid clash of time.
 
Fee Reduction
The School offers discount on short courses to the following categories of applicants:
Holders of Senior Citizen Cards: 50%off
HKBU full-time staff: 20%off
HKBU alumni at Associate Degree level or above and Hang Seng Bank HKBU Credit Card holder: 20%off
HKBU Credit Card holder: 20%off (Applicable to Short Courses for which only Certificate of Attendance will be issued)

General Information for Short Course Students
School Regulations
  1. Attendance to an enrolled course is restricted to the applicant himself / herself.
  2. Students are not allowed to attend sections other than the enrolled one without prior approval from the School. In case of violation, the School reserves the right to terminate the student's right to attend the class and the tuition fee will not be refunded.
  3. Students should bring along their Registration Slips and H.K.I.D. Cards to classes for identification, or their entries may be denied. Students who have lost the Registration Slips should apply for re-issuance (subject to handling fee of $50*) at the HKBU Campus Centre, Island Centre or Shek Mun (Shatin) Campus Centre Office.
  4. Students are encouraged to attend all classes in order to keep up with the teaching progress. Absentees have no right to object any decisions made regarding changes in class schedule between instructors and students during class period.
  5. Students should be punctual. For those students who are late and / or taking early leave for more than a quarter of the scheduled time would be treated as absent.
  6. Please turn off the mobile phone and pager during lesson.
  7. Students should observe the School regulations, respect instructors and uphold class discipline. Students who misbehave or violate the School regulations or the laws of Hong Kong may be requested to withdraw from the course with no refund. If a student has caused damage to public property, a fine will be levied based on the market value of the damaged item.

Students should note the detailed classroom arrangements posted on the notice board near the entrance of respective learning centres, or from the School's website http://www.sce.hkbu.edu.hk/centre/room000.html a week before class commencement.

Class Suspension
  1. Unless otherwise arranged between the instructor and the students, a class will be postponed if the instructor takes leave.
  2. If rainstorm 'Amber' or 'Red' warning signal is in force before class hours, students are expected to come to classes provided that it is permissible under prevailing traffic and weather conditions. If typhoon signal no. 8 or above is hoisted or black rainstorm is in force at the following time, classes / examinations* will be cancelled / postponed:

      Between 6:15 a.m. and

    * Examinations which are in session when typhoon signal no. 8 or above is hoisted will continue until the end of the session.
    Classes and examinations which are in session when black rainstorm signal is issued will continue until the end of the session.
    For details on the classes / examinations arrangement during typhoon / rainstorm for classes / examinations, please refer to the notice posted at SCE offices. Announcement made by the Education Bureau may not reflect the School's decision. Students may call the "24-hour Enquiry Hotline" at 3411 5000 or visit our School's Homepage for details on the captioned arrangement. Special announcement will be made when found appropriate.
Examination Arrangement
  1. The School normally does not entertain request from individual student for alteration of examination date / time.
  2. If a student is unable to present oneself at an examination due to extenuating circumstances, request for make-up examination should be submitted to the Registry prior to the scheduled examination. For emergency situation that occurs on the day of examination and results in a student's absence in the examination, application for make-up examination should be submitted within 1 week after the scheduled examination. All applications should be accompanied by valid supporting document(s), for example, an employer's letter for case of business trip, a sick leave certificate issued by medical practitioner for case of illnesses. A handling fee of HK$200* will be charged. The School will not accept application on the ground of travelling.
  3. The actual course end date may differ from the originally scheduled one (such as postpone of class due to bad weather condition or absence of the instructor, etc) while the concerned examination may also be re-scheduled. Nevetheless, application for make-up examination on grounds of the above reason will normally not be accepted.
  4. Upon approval of application, examinee will be notified of the date and time of the make-up examination. 20% of the examination mark will be deducted.
  5. Make-up examination of Autumn Term 2008 wil be arranged on 18, April 2009 (Sat.) No further examination will be arranged for a student if he / she absents from  the examination as scheduled.
 
Examination Regulations
  1. Students are not allowed to bring to the examination venue any unauthorized books, manuscripts, notes or paper related to the examination subject.  Students should put the said materials, if any, inside their bags which be placed under their seats before the examination commences.  For open-book examination, students are allowed to bring to the examination venue those authorized reading materials only.
  2. Students are required to switch off their mobile phones as well as other communication devices and put them inside their bags which be placed under their seats.
  3. Students must follow the invigilator's instructions throughout the examination.
  4. Students should bring their student ID Card/Registration Slip/HKID card which be placed at the top right-hand corner of the desk throughout the examination for identification and attendance taking purposes.
  5. Students are not allowed to leave during the first 30 minutes and the last 15 minutes of the examination.  No student shall be permitted to enter the examination venue 30 minutes after the start of the examination.
  6. Students are required to remain absolutely silent throughout the examination and must not speak or do anything to disturb other students.  If they have questions, they should put up their hands and wait for an invigilator.
  7. Students should not leave the examination venue unless permission is granted by the invigilator.
  8. At the end of the examination, students must stop writing and wait for the invigilator to collect the answer books.  They should not leave until the invigilator allows them to do so.
  9. A student who found cheating in an examination will be disqualified and treated as failing the examination.  No make-up examination will be arranged.
 
Certificates of Achievement / Attendance
  1. Unless specified otherwise, Certificates of Achievement are issued to students who have obtained a passing grade and an attendance of 75% or above. Students who have failed the examination but have achieved an attendance of 75% or above are qualified for Certificates of Attendance.
  2. For those students of the 2008 Autumn Term who are eligible for the award of certificates would receive their certificates by regular mail after 16 April 2009 at the designated address as given on 'Short Courses Application Form' or 'Application for Admission to Certificate & Diploma Programme'. For any updates of correspondence addresses, 'Application for Amendment of Student Personal Data' together with copy of H.K.I.D. card / registration slip should be returned to the School Registry by fax or by mail on or before 1 April 2009.
  3. A handling fee of HK$30* would be charged for requests for delivery of certificates by registered mail. Application form together with a copy of H.K.I.D. card / registration slip and a cheque payable to 'Hong Kong Baptist University' should be sent to the School Registry on or before 1 April 2009.
  4. For claim of loss of certificate(s) due to postal problem, please complete the application form for re-issuance of certificate(s) and return the application form together with a copy of H.K.I.D. card / registration slip to the School Registry by fax or by mail from 4 May 2009 to 30 June 2009.
  5. Only statement of academic attainment would be issued to students who request for certification of results after 30 June 2009. A handling fee of HK$70* would be levied.
  6. Students of 2008 Autumn Term may check their final results (indicating pass or fail), types of certificates to be awarded, certificates delivery status and dispatch date on SCEl Web http://www.sce.hkbu.edu.hk/pte_results from 16 April 2009 to 30 June 2009.
